Loads quoted, tracked and billed without the retyping.

Tenders land in email and dispatch retypes them. Customers call for updates. Invoices wait on a missing proof of delivery. We map how a load moves from tender to cash, build AI into the systems you already run and keep your team on the decisions.

What can AI do for a logistics company?

AI for logistics companies takes the typing and chasing out of the office work around each load. That means reading tenders and rate confirmations, updating customers, collecting proof of delivery and billing freight, detention and accessorials. Those steps run on email, phone calls, PDFs and one dispatcher's memory, and every delay pushes the invoice back. FlowChainLabs maps how a load really moves from tender to cash. We build AI and automation into the TMS, EDI and inboxes you already run, write the SOPs and train dispatch, customer service and billing on their own loads. A person approves anything that changes a rate, a carrier or a customer commitment.

Tender and order intake, track and trace updates, proof of delivery, detention and accessorials, and freight invoicing.
Systems
Built inside the TMS, WMS, EDI and email you already run. A system gets replaced only when it is the problem.
Who stays in charge
Your team approves rates, carrier choices, claims and anything said to a customer about a problem load. Every AI action is recorded.
Experience

Should a logistics company add a TMS feature, hire more office staff or bring in an AI implementation partner?

Add the feature when the gap sits inside one system. Hire when every load needs judgment. Bring in a partner when the work crosses email, phone, the TMS and billing, and the same load gets typed more than once.

Where does the money leak in a logistics company?

Between the load and the invoice. The truck delivers on time, and the cash still waits on paperwork.

  • Load tenders and rate confirmations retyped from email into the TMS.
  • Track and trace calls answered by calling the driver, then calling the customer back.
  • Proof of delivery chased from drivers while the invoice sits.
  • Detention and accessorials billed late, without the times to back them up, or never billed.
  • Carrier packets and insurance certificates checked by hand before a new carrier hauls.
  • Claims for over, short and damaged freight worked from scattered photos and emails.

Why does the office matter so much in logistics right now?

Because the cost per mile to run a truck hit a record in 2025, and the paperwork now falls on fewer people. The American Transportation Research Institute (ATRI) tracks both.

  • ATRI's 2026 cost study put the cost per mile to run a truck in 2025 at the highest in the report's history, up 3.4% in a year.
  • ATRI found carriers cut non-driver staff 7.8% that year, and truckload and refrigerated operating margins stayed below 1%.
  • Few have turned to AI yet. In the Census Bureau's Business Trends and Outlook Survey for September 7 to 20, 2026, 10.5% of transportation and warehousing businesses said they used AI in the past two weeks. That is less than half the 23.8% for all U.S. businesses.

How does FlowChainLabs work with a logistics company?

One lane or one customer at a time. Before FlowChainLabs, our founder brought suppliers onto electronic ordering at Southern Glazer's Wine & Spirits and helped build an online ordering and warehouse purchasing site at City Electric Supply.

  • Follow one lane or one customer's loads from tender to cash with dispatch, customer service and billing, and time every wait.
  • Pick the first process by what it costs: retyped tenders, unbilled detention or invoices waiting on paperwork.
  • Write the SOP so every dispatcher handles a load the same way, nights and weekends included.
  • Build AI and automation into the TMS, EDI and inboxes you already run, with your team approving the exceptions.
  • Train dispatch, customer service and billing on their own loads.
  • Check the numbers every month and move to the next process.

What should a logistics company fix first?

The step between delivery and cash. Pull last month's loads and count these four.

  • Loads invoiced more than a day after delivery, and what held each one.
  • Stops where the driver waited past free time, against the detention you billed.
  • Track and trace calls and emails, and the minutes each one took.
  • Tenders and rate confirmations typed in by hand.

What changes when every stop is on the record?

Fees you already earn get billed with proof, and invoices stop waiting on paperwork. These are published findings from trucking research and a 2026 survey of AI results.

  • ATRI's 2024 detention study found 94.5% of fleets charge detention fees, and they get paid on fewer than 50% of those invoices.
  • Drivers reported being detained at 39.3% of stops in 2023, ATRI found, and for-hire trucking lost more than 135 million hours to it.
  • Drivers spent 117 to 209 hours a year detained, depending on the sector, ATRI reports.
  • McKinsey's 2026 survey found companies most often report cost cuts from AI in supply chain management, service operations and manufacturing.

What stays with your team?

Anything that commits money, a carrier or a customer. AI reads, matches and drafts. Your team decides.

  • Rates, quotes and anything off the contract.
  • Carrier selection and anything about safety or compliance.
  • Claims, and what you tell a customer about a problem load.
  • Disputes over detention, accessorials or deductions.
  • Credit and payment terms.

Which logistics companies is this for?

Companies that move or store other people's freight and run the office on a TMS or WMS, email and EDI, anywhere in the United States, with on-site work across Dallas-Fort Worth.

  • Truckload and LTL carriers.
  • Freight brokers.
  • Third-party logistics (3PL) warehouses and fulfillment centers.
  • Final-mile and courier companies.
  • Private fleets inside manufacturers and distributors.

How is AI used in logistics?

For most logistics companies, the everyday gain sits in the office: reading tenders, updating customers, matching paperwork to loads and billing. FlowChainLabs works on that office side, inside the systems you already run.

Do we need a new TMS to use AI?

No. Most of the retyping happens around the TMS, in email, PDFs and phone calls. We build into the system you run today and connect what sits outside it.

Can AI read load tenders and rate confirmations?

Yes. AI reads tenders from email, PDF and EDI, checks the lane, rate, dates and references against your TMS and builds the load. Anything that does not match goes to dispatch with the reason and the original document.

Can AI answer where-is-my-load questions?

Yes. AI pulls the latest status from your TMS, tracking and driver updates and answers the customer by email or portal. Anything late or unusual goes to a person first.

Can AI help us bill detention and accessorials?

Yes. AI matches arrival and departure times to each stop, flags the ones past free time, drafts the charge with the proof attached and tracks it until it is paid. Your billing team approves every charge.

Do you handle EDI with shippers?

Yes. Load tenders (204), status updates (214) and freight invoices (210) are part of the work, checked against the load before they go out. EDI is one of the capabilities we build and run.

Are you a freight broker or a TMS company?

No. FlowChainLabs does not move freight and does not sell a TMS. We map how your office works and build AI into the systems you already run.

Will AI replace our dispatchers?

No. The goal is to take the retyping and phone tag off your dispatchers, so they spend the day on drivers, customers and the loads that go wrong.

What do we have when the first project is done?

A map of one lane or customer from tender to cash, with the time on every step. SOPs for that process, each with an owner. The first routine step running in your TMS, with a record of everything it does. A team trained on its own loads, and a starting number to measure against.

How much does AI implementation cost for a logistics company?

It depends on the lanes or customers you start with, the systems a load passes through and how much support you want after launch. You get a clear proposal after a free strategy call.

How do we get started?

Schedule a strategy call. Bring last month's loads for one lane or one customer, and we will show you where the paperwork waited and what to fix first.

Find the money between delivery and invoice.

Bring one lane or one customer to a strategy call. We count the days from delivery to invoice, the detention you billed against the stops where drivers waited and the hours spent retyping, then show you what to fix first.
