Booked jobs
How to get more booked jobs, easiest first.
Your calendar fills from the calls, forms and messages you already get. Jobs slip between the first ring and the booking. Here are the seven steps that keep them, starting with the one you can turn on today.
More of the calls, forms and messages you already get end as jobs on your calendar.
What is the easiest way to get more booked jobs?
Win the customers who already reached out. Text back every missed call within seconds, get the calls you miss today answered, book the job on the first call instead of taking a message, and reply to every web form and message within five minutes. None of it needs more ad spend, and it wins the customer who is calling more than one business.

Why do service businesses lose jobs they already paid to get?
Because the customer calls more than one business, and the first one to answer gets the job.
Customers say it plainly. One homeowner wrote: "Anyone who answers at night or the next day (or sometimes days later) I assume is too busy or too disorganised to work with." Another, after a roofer went quiet: "sorry dude, I didn't hear from you and we had to get the process moving."
Owners say it too. One lawn care owner wrote: "I’m so busy that I don’t even answer phone calls anymore." Every one of those calls was a customer who had already chosen to reach out.
What are the seven steps, easiest first?
Start at the top. The first four win back the customers who are calling right now, and none of them needs more ad spend.
Text back every missed call within seconds. When you can't pick up, the caller gets a text from your business asking what they need, before they dial the next name. It is the easiest step on this list.
How missed call text back worksGet the calls you miss today answered. Nights, weekends and the hour your crew is on a job are when calls go unanswered. Forward those calls to someone who answers in your company's name.
Book the job on the first call. Offer two times and put one on the calendar before the call ends. A message is not a booking: the caller keeps dialing until someone puts a time on the calendar.
Reply to every web form and message within five minutes. Web forms, Facebook and Instagram messages and web chat all count, and so does a lead that comes in at night.
Make booking easy to find. Put a call button and a booking button on the first screen of your website. A customer who can't see how to book calls someone who makes it easy.
Ask for a review after every job. Send the request the day the job wraps, to every customer, the same way every time. Google's rules ban offering anything in return for a review and ban asking only for good ones.
Follow up every estimate until it is a yes or a no. Send the estimate when you said you would, then check in on a schedule until the customer decides. One homeowner hired another roofer after the first one came out and went quiet: "I heard nothing from him afterwards, not even that he’d come & checked out the roof."
What does a missed-call text back look like?
A homeowner calls at 7:42 PM about a leaking water heater, while your plumber is under another sink. Here is the exchange, start to finish.
- 7:42 PM, the missed call
- The call rings out. Nobody at your company can pick up.
- 7:42 PM, the text back
- "This is [your company]. Sorry we missed your call. What can we help with? Reply STOP to opt out."
- 7:44 PM, the reply
- "Water heater is leaking all over the garage floor."
- 7:44 PM, the answer
- "Sorry to hear it. Is the water still running, and what's the address? We can be there at 8:30 tomorrow morning, or tonight if it won't stop."
- 7:46 PM, booked
- 8:30 tomorrow morning goes on your calendar, and you get a text with the address and the problem.
Which step should you start with?
The one where you lose the most. Count last month's missed calls and how long your web leads waited for a first reply. If calls go unanswered, start with steps one to three. If forms wait for hours, start with step four. If customers can't find how to book, start with step five.
What is one more booked job worth?
Here is the median spend per home project in the 2023 American Housing Survey, for 2021 to 2023. Professionals did 64% of those projects.
- Roofing: $10,000.
- Kitchen remodel: $8,000.
- Heating and cooling: $5,500.
- Bathroom remodel: $5,000.

What rules apply when you text customers back?
Text about the customer's own request, name your business in the first message and stop the moment someone replies STOP. A missed call is not permission to send marketing texts. Those need the customer's consent first.
Can someone run these steps for you?
Yes. Core answers every call in your company's name, texts back missed calls, books jobs on your calendar and fixes the places your website loses calls and bookings: steps one, two, three and five. Plus adds instant follow-up on every new lead, answers web chat and Facebook and Instagram messages, and sends review requests after every job: steps four and six. Your team keeps step seven, the estimates it sends. You get a text on every booking and a monthly report of the jobs we booked and what they were worth.
Questions owners ask
How fast should I reply to a new lead?
Within five minutes, and sooner for calls. The 2007 MIT study found the odds of reaching a web lead fell 100 times between 5 minutes and 30.
Is a text back as good as answering the call?
No, but it beats voicemail. Answer when you can, and let the text catch the calls you can't take, so the caller hears from you before they dial the next business.
Can I offer a discount for a Google review?
No. Google's rules ban offering payment, discounts or anything else in return for a review. Ask every customer the same way, with nothing attached.
Should I ask only my happiest customers for reviews?
No. Google's rules also ban asking only for positive reviews. Ask everyone after every job, and reply to every review you get.
Do I need more leads or better follow-up?
Check follow-up first. Count last month's missed calls and the web leads that waited more than an hour for a reply. Those are customers you already paid to reach.
What should a missed-call text say?
Your business name, that you're sorry you missed them and a question about what they need, in two short sentences, plus how to opt out. Keep it about their request.
How do I know the steps are working?
Count booked jobs and what they were worth each month, not calls or clicks. A call that never became a job did not pay you.
Can FlowChainLabs run this for my business?
Yes. We set it up and run it in your company's name, live in 48 hours. Core covers the calls, the texts back, the booking and your website's booking leaks. Plus adds instant follow-up on new leads and review requests after every job.
