Assisted living

Answer the family before anyone else does.

A referral service gets paid when a family it sent you moves in. One national referral service says in its Arizona disclosure that its fee ranges from 88% to 120% of the first month's rent, depending upon the agreement. The families who call you are the ones you can answer yourself. FlowChainLabs answers every call in your community's name, day and night, and books the tour. We set it up and run it, live in 48 hours.

What changes

Every family who calls gets an answer from your community, day or night, and a tour booked when they are ready.

Do assisted living communities pay referral fees?

Yes, many do. In its Arizona disclosure, one national referral service tells families its service is free "because we are paid a referral fee by our partner communities only if we help you find a good fit and you decide to move in." It adds: "That fee ranges from 88% to 120% of the first month's rent, depending upon the agreement." At the national median monthly cost, $6,200, that is $5,456 to $7,440 for one move-in.

What do referral fees cost your community each year?

Put in your own numbers. They stay in your browser.

Starts at $6,200, the national median monthly cost (CareScout, March 2, 2026). Use the number your agreement uses.

88 and 120 are the ends of the range one national referral service gives in its Arizona disclosure. Use the percent in your agreement.

Starts at 10 as an example. Use your own count.

Leave it at 0 if you have not counted.

One family: $6,200

A year: $62,000

That is 10 months of one resident's cost.

Your agreement sets your fee, and it may be lower or higher. The rest is multiplying.

Whose numbers are these?

Two published sources. The 88% to 120% range is one national referral service's own words, in its Arizona disclosure, on a partner page (copyright 2023, read October 29, 2026). The $6,200 median monthly cost is from CareScout's 2025 Cost of Care Survey, published March 2, 2026. The referral service says "first month's rent." Arizona's disclosure form says "first month's rent and care charges." Use the number your agreement uses. We did the math.

What happens when a family calls and no one picks up?

Too often, no one answers. Bild & Co., a senior living marketing consultancy, ran more than 250 web and phone mystery shops of communities in 2023. Senior Housing News reported on February 12, 2024 that 53% of the web inquiries got no response within two hours, 13% of the calls never got a response, and 17% of the calls were blind-transferred to voicemail. The inquiry to tour rate was 22%.

Prospects, the article says, are "often reaching out to multiple communities at a time." Legend Senior Living's senior vice president of sales and marketing told the same article: "No inquiry should go to voicemail and no tour should be turned away, period." And the referral service's own sign-up form, on that Arizona page, tells families they will "typically hear from our team within minutes."

How do you answer first?

In minutes, every time. Our system answers every call in your community's name, texts back every missed call in seconds and books the tour on your calendar. Plus and Pro also follow up every new inquiry the moment it arrives. We set it up and run it. You keep your number. Care assessments and move-in decisions stay with your team.

What does it do with each call?

It answers from what you approve, and passes the rest to the right person.

  • A family member asking about care: answered from your approved answers, and the tour booked.

  • Pricing and openings: only what you approve. Your sales team handles the rest.

  • Residents' families and vendors: the message goes to the right person.

  • An urgent concern about a resident: sent to the staff member on duty, by your rules.

What does a call sound like?

Like a calm front desk. Hear a family member call about their mom and book a tour for Saturday at 11.

  • Someone close by
  • Family tour: Saturday, 11 AM
  • Confirmation texted
  1. Caller

Hi, I'm calling about my mom. She can't live alone anymore.

  2. Your business

I'm so sorry. Does she need help day to day, or mostly someone close by?

  3. Caller

    Mostly someone close by.

  4. Your business

That sounds like a good fit. Can you both tour Saturday at eleven?

  5. Caller

    Yes, that would be great.

  6. Your business

You're all set. I just texted you the confirmation.

Should you drop your referral services?

No. We are not telling you to. Referral services send real families, and some of them you would never have met. This page is about the families who call you. What your agreement counts as a referral is written in your agreement, and we are not lawyers. We cannot promise a fee saved or a move-in.

Is it HIPAA compliant?

Yes. We make sure your calls and follow-up are HIPAA compliant: the business associate agreement, the setup HIPAA requires, how long call records are kept, and testing on realistic patient calls before go-live.

What else can we do for your community?

Plus adds no-show follow-up, so a family who misses a tour hears from you. Pro connects to the software you already run. For the rest of your operation, we build AI agents and run them for you.

Questions owners ask

Do assisted living communities pay referral fees?

Yes, many do. In its Arizona disclosure, one national referral service says its service is free to families because it is paid a referral fee by its partner communities, and that the fee ranges from 88% to 120% of the first month's rent, depending upon the agreement.

How much do referral services charge communities?

One national referral service's Arizona disclosure (copyright 2023) says its fee "ranges from 88% to 120% of the first month's rent, depending upon the agreement." Your agreement sets yours.

Do families pay anything?

One national referral service tells families no, in its Arizona disclosure: "No one can ever charge you more because you use our services."

When is the fee owed?

One national referral service's Arizona disclosure says it is paid "only if we help you find a good fit and you decide to move in." Which families count is written in your agreement.

Why is the fee range public?

Arizona law requires referral services to tell each family what the community pays. The law is A.R.S. section 36-446.14, amended by Senate Bill 1477, approved June 19, 2026. It also says a community may not pay a referral fee until it has a copy of the family's disclosure and acknowledgement. Rules differ by state.

Does answering first change the fee I owe?

That depends on your agreement, not on us. A contract says what it says, whoever answered first. What answering first changes is who the family talks to. Read your agreement and ask your attorney.

Will families know they are talking to an AI?

It sounds like your front desk, not a phone tree. If a caller asks, it tells them the truth.

Do you take a cut of move-ins?

No. We never charge per move-in, per referral or per patient. It is one flat monthly price, month to month, with no contract.

How fast can it start?

Live in 48 hours. You share your hours, services and tour rules. We set up the workflows, check the calendar and test the handoffs before activation. You hear how it handles your calls. Texting turns on once your phone carrier approves your business texting registration.

What if it does not pay for itself?

It pays for itself in 30 days, or you don't pay. The written terms are on the plans page.

Do I keep my number?

Yes. Forward your line to us and your number stays where it is. If you ever leave, your number and your list of families go with you.
