For operations and people leaders

Collect the repeated questions.

Ask experienced people which questions interrupt them each week. Choose a small group that matters to the work.

Find the approved answers.

Identify the document, record, or person that owns each answer. Remove outdated duplicates from the working set.

Name an information owner.

Choose who checks each source and how a change is communicated. A connected answer is only as useful as the information behind it.

Define who needs access.

Match the information to the role. Keep restricted customer, financial, and personnel records outside the general knowledge set.

Test retrieval and judgment.

Try questions with a known answer, an outdated source, and no answer. Check whether the system shows the source and recognizes the gap.

Review the questions it cannot answer.

Use missing answers and team feedback to improve the source. Do not let the system invent policy or fill gaps with guesses.

Your working notes.

Use these prompts with your team. The downloadable guide includes the same worksheet.
